Getting started

What is CallMyDesk?

An assistant for your work that you reach by phoning a normal number, from your cell phone, the car over Bluetooth or the office line. It has permission to read your inbox, calendar and CRM, and it does things: tells you what came in, drafts a reply and reads it back, logs a meeting, moves an appointment, calls you with the morning brief if you asked for one. Think of it as a dedicated employee in your office whom you just phone.

See how a call works

Who is it for?

People who work away from a desk. Field and territory salespeople who want the meeting logged and the follow-up sent before the next visit. Founders and owner-managers who clear the inbox on the commute or call the office from a job site. Financial advisors and relationship managers who dictate the file note from the parking lot. Each has its own page: field sales, founders and owners, advisors and relationship managers. If you spend hours a week on the road, it is probably for you.

Do I need to install an app?

No. You save one number in your phone and call it, from your cell phone, the car over Bluetooth or the office line. Connecting your Microsoft 365 or Google Workspace account and your CRM happens once, in a browser, when you set up. After that it is a phone call.

What set-up involves

Is there a free trial?

Yes. Every plan starts with a two-week free trial. During early access the trial begins when your seat opens, not when you join the list, so none of it is spent waiting. There is no charge until day 15, and if you cancel during the trial you pay nothing. If you want a place near the front of the queue, the founding-seat deposit is the alternative: $49, refundable, and credited against your first paid month after the trial. The terms set out the trial in full.

Calls

Does it send anything without my permission?

No. Before it sends, books or updates anything, it reads it back (the recipient, the gist and any numbers) and goes ahead when you say yes or press 1. That yes is checked by our server against the exact draft it read out, so the AI cannot send on its own. Reading, searching and drafting go ahead without asking. How it works shows a whole call.

How quickly does it reply?

About a second for conversation. When it has to read your inbox, look something up in the CRM or search the web, it takes a few seconds and says so ("Give me a moment, I'm checking the inbox") rather than leaving silence. A longer job, such as a two-minute brief on a company, runs while you keep talking, or it offers to call you back when it is ready. It is a phone call, so the honest number is about a second, not nothing.

What a call sounds like

Does it say it's an AI?

Yes. When you call your own line it answers "Hello, this is CallMyDesk, your AI assistant." Any call it places for you, to confirm a meeting or book a table, opens with "Hello, this is an AI assistant calling on behalf of [your name] at [your company]." The demo line says so too. Emails it sends can carry an optional note that they were drafted with AI assistance. The AI disclosure page sets out exactly what it says and why.

Can it call me?

Yes, on the Rep and Team plans, at times you set. The morning brief, at 7:30 am for example, gives you the route, the day's meetings and anything urgent; the end-of-day call asks whether you want to log the meetings you had. Both are part of the plan, not something counted or charged. It only calls and texts you because you asked it to. You say yes at signup, we text a one-time code to confirm it's your number, every call it makes to you opens with the CallMyDesk name and a number you can call back, and you can say "stop" at any time. Texts come from a toll-free number for now. Your own line answers 24 hours a day, evenings and weekends included.

The morning-brief call, in detail

Will it call me at times I did not ask for?

No. On Solo it never calls you; you call it. On Rep and Team it calls your cell phone only at the times you chose for the morning brief and the end-of-day call, and texts you only when you asked for a summary, a result or a one-time code. The permission you give at signup covers exactly that and nothing else; it never makes marketing calls or sends marketing texts to anyone. If a time stops suiting you, say so on any call and it changes. Say "stop" on any call and scheduled calls end right away; reply STOP to any text and texts stop. Either can be switched back on from your account page.

What it says when it calls you

Does it remember things between calls?

Yes. It keeps a memory for your account: who's who, open deals and tasks, what you promised and what you decided last Tuesday, so you never start from scratch. The memory is rebuilt every night from your calls and your connected systems. Ask "what did you do today?" on any call and it reads you its log. It is one assistant that knows you, not a new session each time.

Email and calendar

Does it work with my email and CRM?

Mail and calendar on Microsoft 365 or Google Workspace. CRM on HubSpot, Pipedrive or Salesforce (on the Rep and Team plans). Microsoft 365 and HubSpot are in early access now; Google Workspace has limited places while Google reviews our app; Pipedrive and Salesforce are coming. The integrations page lists what it reads and what it writes for each.

What can it do with my inbox and calendar?

Read them and act on them. Ask what came in, what matters and what can wait; it skips newsletters and tells you who is chasing you. Ask it to reply and it drafts the email and sends it when you are happy with it. Ask it to book or move a meeting and it finds the slot, sends the invite and tells the other person. Solo covers one inbox and calendar; Rep covers two.

Email from the car, hands-free

Why is Google Workspace in early access?

Because Google requires an independent security review of any app that reads Gmail, and until that review is complete Google limits how many people can connect and shows a warning that the app is unverified. We have started the review; it usually takes months, and we would rather say so than pretend otherwise. Places on Google Workspace are limited while Google reviews our app, the waiting list is free, and nobody is charged for a Google seat until it is connected. Microsoft 365 has no such limit.

Where the queue is

I'm an employee, not the owner. Can I connect my work Microsoft 365?

Usually, with one click from whoever administers your Microsoft 365. Microsoft treats reading and sending mail as a permission an administrator must approve for the company, so the first time you connect, Microsoft shows a "needs admin approval" screen and sends them the request. We give you a one-page note for them that lists what is asked for and why. If you are the administrator, there is no extra step.

What it asks Microsoft for

CRM

Does it write to my CRM or just take notes?

It writes. Debrief notes, deal stage, value, close date, next step and follow-up tasks with dates go into HubSpot, Pipedrive or Salesforce, under your name in the CRM's normal timeline. It also creates new contacts and logs the emails it sends for you. It never deletes, merges, reassigns or changes settings. HubSpot is in early access now; Pipedrive and Salesforce are coming. The integrations page lists what it reads and writes for each.

Can it change my CRM without me knowing?

No. It reads your CRM whenever you ask, and writes only what you asked for on the call. Each entry goes in under your name with the words you said saved in your audit log. On the Team plan an administrator can set a seat to read only, so it can brief but never write.

The debrief call, with the transcript

Can it brief me on an account before I walk in?

Yes, on the Rep and Team plans. Say "two-minute brief on Henderson" from the parking lot and it reads the open deals, who you are seeing and their role, the last emails either way, what you promised last time and any recent news about the company. Reading all that takes a few seconds, and it says "give me a moment" while it looks. You can interrupt it at any point and ask for more on one part.

Security and data

Do I have to give it my passwords?

No, and it will never ask. You sign in on Microsoft's, Google's or your CRM's own page and agree to a listed set of permissions. The assistant never sees a password, and the permission it is given can be switched off in one click from your account page, with immediate effect.

How connections are protected

Is my data used to train models?

No. Your data is never used to train models, ours or anyone's. What it reads in order to answer you is processed for that call and that purpose only, under a published data processing agreement that names every company involved, and the same commitment is written into our contracts with them. The security page lists what is stored, for how long, and by whom.

How long do you keep call audio and transcripts?

Call audio is deleted after 30 days and transcripts after 90, or sooner if you ask. Your audit log, which records what it did, when, and the words that authorized it, is kept for the period set out in the data processing agreement, because it is your record. On the Team plan your firm sets the windows itself, down to deleting audio at the end of the call; firms that must keep records for years talk to us about Enterprise. When you cancel, the deletion clock starts right away.

Retention, in full

Where is my data processed?

US-hosted. The service and your data run in the United States with the named companies on our published sub-processor list, and our data processing agreement is published too, so you can see exactly who handles what. UK customers get a UK GDPR annex. In plain terms: the application, the call audio and everything stored sit in US data centers, and the AI models that understand and draft are run by vetted providers named on that list. We do not claim that everything stays inside the United States, because a speech provider may process elsewhere, and the list says who and where.

How does it know it's me calling?

By a PIN you choose, spoken or keyed on every call. It does not rely on the number you are calling from, because caller ID can be faked. For a few sensitive actions it goes one step further and texts a one-time code to the cell phone you confirmed at signup, or calls you back on it, before going ahead. Repeated wrong PINs lock the line. It does not try to recognize your voice: voices can be cloned, and a PIN cannot be lifted from a recording of you.

The PIN and step-up checks

Are you certified to a security standard?

SOC 2 compliance is part of the Enterprise plan, with the report available under NDA. For Google access we are completing CASA, the independent security assessment Google requires of any app that reads Gmail, and Microsoft publisher verification is under way. We do not claim ISO 27001. What every plan gets today is on the security page: sign-in through Microsoft's, Google's and your CRM's own pages with no passwords stored, an audit log of every action, encryption in transit and at rest, deletion on a published schedule, a data processing agreement and a named list of sub-processors.

Pricing and plans

How much does it cost?

$119 a month for Solo (one inbox and calendar), $199 for Rep (adds your CRM, documents, a second inbox and the scheduled morning and end-of-day calls) and $179 a seat a month for Team, billed yearly with three seats minimum (adds the admin console, the team audit log and retention controls). Billed yearly, Solo is $99 a month and Rep $179. Every plan starts with a two-week free trial and has unlimited calls and texts with your assistant; no credits, no minute packs. Prices exclude sales tax. Enterprise, for teams of 20 or more and regulated firms, is priced on a call. For comparison, ten hours a month of a US virtual assistant costs about $390. The pricing page has the detail.

Is there an enterprise plan?

Yes. Enterprise is for teams of 20 or more and regulated firms. It includes everything in Team on every seat, plus a dedicated account manager, onboarding for the whole team with a set-up call per rep, single sign-on (SAML) and an admin console with roles, custom retention and archiving to meet record-keeping rules, a signed data processing agreement, SOC 2 compliance with the report available under NDA, custom integrations, and priority support with invoicing on net terms. There is no list price. Book a call through the contact form, we reply within one business day to arrange it, and we quote a price for your firm on the call.

Is there a limit on calls?

No allowance and no meter. Unlimited calls and texts between you and your assistant for normal individual business use. To keep pricing flat for everyone we may apply fair-use limits, currently a soft ceiling of 1,000 assistant-minutes per seat per month, and we'll contact you before any limit affects your service. Fair use exists to stop bulk and automated use and shared seats, never to stop a person doing their job; someone who calls ten times a day is the customer we want. There is no balance to check and nothing to buy. The pricing page explains what unlimited means.

Does it cost more when it calls me?

No. The morning-brief call, the end-of-day debrief and the text summary are part of the Rep and Team plans, not something counted or charged. It only calls and texts you because you asked it to. You say yes at signup, we text a one-time code to confirm it's your number, every call it makes to you opens with the CallMyDesk name and a number you can call back, and you can say "stop" at any time. Texts come from a toll-free number for now. Standard carrier rates for calls and texts to your cell phone are between you and your carrier, as with any call.

All plans and prices

Do you charge sales tax?

Only where your state charges it, and most do not. Prices are in US dollars and exclude sales tax. About 20 states tax a business software subscription; if yours is one of them, Stripe adds the tax at checkout and shows it as its own line on your invoice, so you never see a tax line that was not on the checkout screen first. Paying from outside the US, you pay in dollars and your card converts. Customers in the UK will find the UK tax note in the UK section of our terms.

Prices and sales tax

What is the $49 deposit for, and can I get it back?

It reserves a founding seat, which means you are set up in the first group, in the order deposits arrive, and you hear from us before anything else is charged. When your seat opens your two-week free trial starts as usual, and the $49 is credited against your first paid month after the trial. The founding-seat deposit is $49 and is refundable in full at any time before your first invoice. Ask by email and we refund within five business days.

Reserve a founding seat

How do I cancel and remove its access?

From your account page, in one step. Canceling revokes the assistant's access to every connected system at once (Microsoft, Google, your CRM), stops any scheduled calls and texts, and the plan runs to the end of the paid month without renewing. You can also switch off a single connection at any time without canceling. Deletion then follows the published schedule: call audio within 30 days and transcripts within 90, or sooner if you ask by email. The terms have the detail, including the 14-day refund window on annual plans.

Phones and cars

Does it work on an office line, or only on my cell phone?

Any phone. Cell phone, car Bluetooth, the office desk phone, a hotel room phone. The PIN proves it is you, not the number you are calling from. For a few sensitive actions it will text a one-time code to the cell phone you confirmed at signup, so keep that within reach if you are on an office line.

Set-up and the first call

Can I use it while driving?

Yes, over your car's Bluetooth, as an ordinary phone call. In 33 states and the District of Columbia it is illegal to hold a phone at the wheel, but a hands-free voice call is lawful for adult drivers in every state, and there is nothing on a screen to look at here because there is no screen. Say what you need and keep your eyes on the road. The UK has banned hand-held use since March 2022 and allows hands-free too. The guide to hands-free work calls and the driving law has the state table and a UK section.

Does it work with my accent in the car?

Mostly, and it says so when it is not sure. A phone line carries less of your voice than a microphone on a laptop, and road noise and a strong accent both cost accuracy. If it has a name wrong, say "no, Henderson with an H" or "spell it" and it puts it right.

Hear it for yourself on the demo line

What if it mishears a name?

You say so, and it puts it right. Say "spell it" and it reads a name letter by letter, and it says amounts in full and dates with the day of the week. If you would rather check on a screen, say "save it as a draft" and it waits in your drafts folder.

Limits

Three things people assume it does, and it does not. We would rather you knew before you called.

Can it sit in my meetings?

No. It is a one-to-one call between you and your assistant. It never joins or records your meetings, and it never calls your prospects. There is no device on the table and no recording of your clients or customers, so there is nothing to ask their permission for. After the meeting you call it from the parking lot and tell it what happened; that note, in your words, is the record.

Why advisors in particular want it this way

Will it call my customers or prospects?

Never for marketing, on any plan, at any price. The only calls it places are service calls you asked for, such as confirming a meeting time or booking a table, and each one opens with "Hello, this is an AI assistant calling on behalf of [your name] at [your company]." Nor does it answer calls from your customers: the line is yours, and it answers to you, not to the public. If you want sales calls made or a receptionist, this is not the product.

What it says on every call it makes

Can it take a payment or move money?

No. It drafts the quote and sends it when you ask, and it chases an invoice politely when you ask, but it does not take a payment, make one, move money or change a password. There is no tool inside it for any of those, so it cannot be talked into them, by you or by an email it reads. It does not connect to QuickBooks, Xero or your bank.
